Patient records

The Patient Detail View

When you click a patient name in the directory, you open that patient's dedicated record. This is where all clinical data converges: scribe transcripts, AI-generated notes, tasks, faxes, and more are all linked to a single patient identity.

The patient record acts as a living chart. Each time you run a scribe session and associate it with this patient, the transcript and generated note are automatically attached here. Over time, you build a complete longitudinal view of the patient's clinical encounters.

Editing Patient Information

To update a patient's details, click the Edit icon on any patient row in the directory. This opens the Edit Patient modal, which lets you modify:

  • Patient Name -- required; this is the primary identifier throughout DeepCura.
  • Phone Number -- validated against standard phone number formats when provided.
  • Date of Birth -- entered in MM/DD/YYYY format with automatic formatting as you type.
  • Email -- validated for proper email format; used for patient communications and payment links.
  • Insurance Information -- an expandable section with fields for Provider Name, Policy Number, Group Number, and Coverage Details. This section only appears if you click the insurance toggle, keeping the modal clean for practices that do not track insurance here.

All changes are saved instantly when you click Save. A success notification confirms the update, and the directory reflects the change immediately.

Task Tracking

Every patient can have tasks associated with their record. Tasks are generated automatically by the AI Scribe (for example, "Schedule follow-up in 2 weeks" or "Order lab work") or created manually by you or your team. Each task includes a title, description, status (to-do, in progress, done), optional deadline, and an assignee.

From the Patient Directory, you can toggle to Task View to see all tasks across patients, or navigate to the dedicated AI Tasks page (covered in Module 4) for a full task management experience with filtering and export capabilities.

Session History

The transcript count displayed next to each patient tells you how many scribe sessions have been recorded. Clicking into the patient's record from the main Notes page reveals each session chronologically, giving you a complete audit trail of every encounter.

Archiving a Patient

If a patient is no longer active in your practice, you can archive them directly from the directory. Click the Archive icon on the patient row, and the record moves to the archived list. Archived patients remain fully intact, with all their notes, transcripts, and tasks preserved. You can unarchive them at any time by toggling the Archived switch and clicking the Unarchive action.

Data Validation

DeepCura validates critical fields before saving. Phone numbers must match standard formats, dates of birth must follow MM/DD/YYYY, and email addresses must contain a valid domain. If any validation fails, you receive a clear error toast explaining what to correct. This ensures data quality across your patient directory.


Pre-Charting: Prepare Before the Visit

Pre-charting lets your team front-load clinical context — PDFs, vitals, prior notes, or voice dictations — before the physician even enters the room. When the AI Scribe runs, it automatically combines all pre-charted material with the live consultation recording to produce a richer, more complete note.

Navigate to: Sidebar → Patients → select patient → Pre-Chart section

Pre-Charting Stage (Staff / MA)

Step 1: Open the patient file

Step 2: Add Your Pre-Chart(s)

You can add as many Pre-Charts as needed — mix and match both options below. Everything will be combined when the note is generated.

Option A: Upload a PDF

Use this for external records, lab results, or prior notes.

  1. Attach the PDF file inside the patient folder.
  2. Select the appropriate Extraction Template.
  3. Click generate — DeepCura will extract the information automatically.

Option B: Type, Paste, or Dictate Notes

Use this to add any additional notes, vitals, or observations.

  1. Click the "+" button to open a new Pre-Chart.

  2. Type or paste your notes directly, or click the microphone icon to dictate.

No need to worry about formatting or structure. When the final note is generated, DeepCura will automatically organize everything into your chosen template (SOAP, narrative, etc.).

Step 3: Auto-Save

No need to click anything — all Pre-Charts auto-save in real time. The Pre-Chart(s) are ready for the physician.

For the Physician — When the Patient Arrives

Step 1: Add Pre-Charts as AI Context

Before meeting the patient, open the AI Context Manager and for each Pre-Chart you want to include, click the checkmark to include it. This tells DeepCura to combine all pre-charted information with the live consultation recording.

Step 2: Start Recording

Click "Start Recording" and begin your conversation with the patient.

Step 3: Complete Session & Select the Template

Step 4: Let It Generate

DeepCura will combine your Pre-Charts and the recorded consultation, then generate the complete clinical note automatically.

Done! Your note is complete, including all pre-charted information.
