Onboarding New Team Members
When you add a new team member to your workspace, they go through an AI-guided conversational onboarding experience where Emily (the AI Consultant) walks new team members through setting up their specialty, AI model preferences, practice details, and language settings through a natural voice or text conversation.
As an admin, you do not need to walk each team member through this process manually. The onboarding experience is fully self-guided — Emily handles the entire setup conversation and configures the account based on the team member's responses.
Training Resources
- This Help Center — The lesson-based curriculum covers every feature systematically. Share the link with your team members.
- YouTube Tutorials — Video walkthroughs of key features are available on the DeepCura YouTube channel.
- AI Consultant — The built-in onboarding AI agent answers questions during initial setup.
- Team Chat — Use the built-in messaging system to share tips and best practices within your team.
HIPAA Compliance
- End-to-end encryption — All data in transit is encrypted using TLS. Data at rest is encrypted using AES-256 on AWS infrastructure.
- No persistent audio storage by default — Audio recordings are processed in real time and not stored permanently unless you explicitly enable backup storage in Automation Settings.
- Access controls — The role-based permission system ensures team members only access the data and features they need.
- Audit logging — Critical actions like attestation signing and permission changes are logged for compliance review.
- Secure communication — The built-in team chat is covered under HIPAA compliance.
Business Associate Agreement (BAA)
A BAA is a legal contract required under HIPAA when a third party handles protected health information (PHI) on behalf of a covered entity. DeepCura provides a BAA that covers all aspects of the platform's handling of PHI. Access and review it from Settings > Legal.
PIPEDA Compliance
For Canadian practices, DeepCura also supports compliance with PIPEDA (Personal Information Protection and Electronic Documents Act). The same security infrastructure that supports HIPAA compliance also satisfies PIPEDA requirements.
Compliance Best Practices for Teams
| Best Practice | How to Implement |
|---|---|
| Enable 2FA for all team members | Each member enables it from Settings > Security |
| Review BAA before deployment | Access from Settings > Legal |
| Use built-in chat for clinical discussions | Direct team to Messages page |
| Set appropriate permission levels | Configure via Team Members > Departments |
| Manage audio recording settings | Configure in Automation Settings |
Recording Disclaimer
By default, DeepCura plays an audio disclaimer before each recording session. This disclaimer can be disabled from Automation Settings, but doing so requires signing a legal attestation acknowledging your responsibility for obtaining patient consent through other means.
