The AI Nurse Copilot is DeepCura's pre-visit intake system. It lets you send patients a secure link — via SMS, email, or your website — where they can complete intake forms, sign consent documents, upload insurance cards, and answer pre-visit questions before their appointment.
How It Works
- Create a public intake link from your DeepCura dashboard — attach your consent forms, select a questionnaire template, and customize the welcome message and logo
- Share the link with patients. You can copy it to your website, email it, or have the AI Receptionist text it during a call
- Patient clicks the link — no login or account creation required
- Patient verifies via SMS — they enter their name, email, and phone, then receive a 6-digit code to verify their identity
- Patient completes intake — consent forms, insurance card upload, and AI-guided questionnaire
- You review the results in your DeepCura dashboard and sync to your EHR if connected
What Patients Can Do
Sign Consent Forms Digitally
Upload your practice's consent PDFs (HIPAA authorization, financial policies, cancellation policies, etc.) and attach them to your intake link. Patients view each form and sign digitally on their phone or computer.
- Signature capture works on all devices (phone, tablet, desktop)
- Patient name, date, provider name, and organization name auto-fill into form fields
- Signed PDFs are saved securely in your account
- A system HIPAA consent form is automatically included
Upload Insurance Card Photos
Patients can photograph their insurance card and upload it during intake. DeepCura uses AI vision to automatically extract:
- Insurance provider name (e.g., Aetna, Blue Cross Blue Shield)
- Policy/member ID number
- Group number
- Coverage details and plan type
Extracted data pre-fills the patient's record — no manual data entry needed.
Answer Pre-Visit Questions (AI Nurse Copilot)
After verification and consent, patients enter a conversational AI session. The AI Nurse asks dynamic, follow-up questions based on the visit type and the patient's responses — going beyond static forms to capture clinically relevant details.

- Conversation is recorded and stored as a transcript in your dashboard

Custom Form Builder
You can create custom intake forms by uploading your own PDF documents. DeepCura detects form fields automatically (text fields, checkboxes, radio buttons, signature fields) and maps them for digital completion. This lets you digitize any paper form your practice currently uses.
How the AI Receptionist Sends Intake Links
During a live call, the AI Receptionist can text the intake form link to the caller. The link comes from your knowledge base — you add your intake URL once, and the AI sends it when relevant (e.g., when a new patient calls to schedule).

EHR Integration
Intake data flows into your DeepCura dashboard as a patient note. From there, what gets synced to your EHR and what stays in DeepCura depends on the data type.
What Syncs to Your EHR
If you have an EHR connected (eClinicalWorks, Athena, Epic, DrChrono, AdvancedMD, or CharmHealth), the following clinical data can be pushed directly into the patient's chart:
- Clinical notes — the finalized encounter note generated from intake and AI Nurse conversations
- Conditions and diagnoses — ICD-10 and SNOMED-coded problems written to the patient's problem list
- Allergies — SNOMED CT-coded allergens with criticality levels
- Medications — RxNorm-coded prescriptions and medication reconciliation
- Lab and imaging orders — LOINC-coded service requests with clinical justification
- Immunizations — CVX-coded vaccine records with site, route, dose, and lot tracking
For eClinicalWorks specifically, DeepCura offers two sync methods: a native FHIR API for structured data (allergies, medications, diagnoses, labs, immunizations) and a proprietary AI Scribe It Engine that converts notes into eCW's native Scribe It format — including per-diagnosis treatment plans, validated ICD-10 codes from your own code library, and E&M/CPT billing codes. This handles data types the FHIR API cannot push, such as linked treatment notes and billing.
What Stays in DeepCura
The following data is stored securely in your DeepCura account and is accessible and downloadable anytime, but is not auto-pushed to your EHR:
- Signed consent PDFs — viewable and downloadable from the patient note
- Insurance card photos and extracted data — stored with the patient record for reference
- Raw AI Nurse conversation transcripts — the full question-and-answer exchange
- Custom form responses — completed intake form data from your uploaded PDF forms
AI Receptionist Integration
The AI Receptionist can text patients any web link during a live call — including intake form links, online scheduling links, payment portals, or any other web tool your practice uses. Add the URL to your AI Receptionist's knowledge base, and it sends the link via SMS when relevant (e.g., a new patient calls and needs to complete intake before their appointment).
Security & Compliance
- SMS verification — 6-digit OTP code with 15-minute expiry prevents unauthorized access
- No patient account required — phone number is the only identifier needed
- reCAPTCHA protection on all public forms to block bots
- Rate limiting — daily and hourly session caps per link prevent abuse
- HIPAA-compliant — IP addresses are hashed, data encrypted in transit and at rest
- Signed consent PDFs stored securely in AWS S3 with full audit trail
- Session tokens expire after single use plus 5 minutes

- Navigate to AI Nurse → Public Links
- Click Create New Link
- Select a questionnaire template and attach your consent forms
- Customize the display name, logo, and welcome message
- Copy the link and share it with patients, or add it to your AI Receptionist's knowledge base
